What you'll accomplish

By the end of this guide, you'll have Weave set up to automatically send recall reminders to patients who are overdue for their cleaning, and post-op check-in texts to patients 24 hours after surgical procedures. Instead of manually tracking and texting patients, this runs on its own — bringing patients back without you doing anything after the initial setup.

What you'll need

  • Your practice already uses Weave (the phone/text communication platform)
  • You have or can get manager/admin access to the Weave portal (not just the phone app)
  • Your PMS is synced to Weave (standard for most Weave installs)
  • Time needed: 30 minutes for initial setup; ongoing: 0 minutes
  • Cost: Weave is typically already in your practice's budget (~$400-600/month for the full platform)

Step 1: Log into the Weave admin portal

Open a browser → go to app.getweave.com → log in with your practice credentials. If you only have the phone app, ask your office manager for web portal access — you need the desktop version for automation setup.

What you should see: The Weave dashboard showing your practice name, phone system status, and a left-side navigation menu.

Troubleshooting: If you don't see an Automations menu item, your Weave plan may not include it. Contact Weave support to confirm your plan includes messaging automation.
